What’s New in Geotab Drive?

Geotab Drive Version 2003 continues to address simplifying the workflow and navigation. There are also a few new notewothy new features, so let’s jump right in.

Availability Notifications are available by default in Geotab Drive 2003.

The 2002 release featured a new availability screen in feature preview. In Geotab Drive 2003 this becomes the default screen for drivers to review duty status notifications and monitor their driving limits. Using the Availability feature, users can:

  • Apply the Exempt HOS exemption.
  • Monitor remaining rest periods.
  • Receive warnings for upcoming and potential violations.

Have you ever needed to know your database name?

In Geotab Drive 2003, drivers can check their company database name on the settings screen.

Improved message text for interactive prompts

What action needs to be taken by a driver is now more prominently displayed in interactive prompts. For example, for the prompt “You have logs that require action” the instructions “Tap here to review” will also be displayed alongside in bold text as a shortcut to whatever needs attention.

Improved logout workflow

To get drivers into the App and on the road faster, the logout/login workflow has been streamlined. Currently, drivers are asked to change their status to OFF or ON when logging out of the App. They were also asked to verify logs the next time they logged in. For most drivers however, the only verification required was their OFF/ON status from the previous logout. Now, the logout feature will automatically verify the ON/OFF status and prompt log verification before log out, shortening the process and simplifying the workflow.

Geotab Version 2003 First Look

As we have come to expect, when a new version of Geotab is released there are always a lot of questions. We just got our first look at MyGeotab version 2003 and want to share an advance look at what is coming soon. By turning on “Feature Preview” in your Geotab account settings, you will see some changes sooner. To turn the preview on, click on your username in the Geotab UI, then click options. INTERNET EXPLORER 10 END OF LIFE NOTICE

With this release of MyGeotab, Internet Explorer 10 is no longer supported!

Before we get started, please take note that as of this release of MyGeotab (version 2003), there is no longer support for Internet Explorer 10. This notice follows the Microsoft announcement which ended support for Internet Explorer 10 and older, earlier this year.

What’s New in MyGeotab?

First, this list of enhancements in MyGeotab 2003 is a long one. Even better, this release is jam packed with simple but powerful changes that will make the administrator’s job faster and easier. The changes made also provide more options for filtering to access information more quickly. So… here we go!

Easy Device Upgrade Requests in MyGeotab v2003

ProPlus Customers that have devices eligible for free upgrade will have the option to make the request through the UI. Eligible devices will be highlighted in MyGeotab and Fleetistics will be notified when the request is made. If you would like to review the great benefits ProPlus offers, contact us and get protected against network changes.

Consolidated Messaging (Feature Preview)

New threaded views provide conversation-style messages with simple-to-use input controls such as adding links and canned replies. Ultimately this give messaging the look, feel, and familiarity of an email app. Messages can be sent to devices so that anyone driving the vehicle can see them, or to users for more private communication.

Moreover, unread messages display in tab titles for easy detection, and as shortcuts under Notifications on the main title bar. Messages are searchable by date and filters to find desired messages more quickly.

New Groups Filter Functionality

In MyGeotab version 2003 the group filter isolates vehicles in more than one group. Perhaps you want to see only the dump trucks at a particular branch location. This feature change filters to only the vehicles that are assigned to both groups when you select multiple groups. In a future release you will be able to choose “AND” or “OR” based on whether you want to see vehicles in eother group or only in both groups.

Sustainability Rules Section added in MyGeotab 2003

To reflect the new Sustainability Pillar introduced at Connect 2020, idling rules are moved to this new section along with a variety of new EV specific rules. The new default rules include Low Charge, Entering and Exiting Charging Location, and EV Done Charging.

Privacy Settings for Exception Notifications

In System Settings a new tab has been added for Privacy settings. You will now be able to exclude information that may be considered sensitive from the notifications sent by your system.

New Zone Filtering

In MyGeotab 2003 sones can be filtered to only active zones. Simple but powerful.

DTC Codes Displayed in List View

Another big improvement is the addition of DTC codes to the Engine Faults displayed in MyGeotab. In the past you had to download a report to see the DTC codes. We think this one is a huge win.

Time Zone Reminder Message

Last on our list for this update is the one that makes you wonder why we weren’t asking for it all along. If the time zone on your computer is different than the time zone set in your user options, you will see a message alerting you to the difference. Again, so simple, but powerful.

Be watching for our next post on the 2003 release of GeotabDrive.

What’s New in Geotab Drive?

Geotab Drive Version 2002 addresses simplifying the workflow and navigation. There are also a few new notewothy features, so let’s jump right in.

New DVIR category and ability to attach images to defects and repairs.

A new DVIR type called “In-trip” has been added for drivers who may find a defect in the middle of a trip, and would like to inspect the vehicle without affecting the Pre-trip and Post-trip DVIR flows.
DVIR In Trip
DVIR Image
DVIR Repair Image
Also new in Geotab Drive Version 2002 is the ability to upload images to DVIR inspection defects and DVIR repairs. This will save both the driver and the mechanic time, especially when a problem may be difficult to describe. Images contribute to a complete and fully documented defect report and repair report.

To add images to a DVIR, tap the Camera icon under the selected defect. The DVIR displays the uploaded images for both inspection and repair events. The uploaded images are then available in MyGeotab. In MyGeotab, an Image icon indicates whether the DVIR includes images for inspection and/or repair events.

Shipments

The limit for the number of shipments that can be listed has been increased to 25.

Moving Unidentified Logs

Previously, Admins were able to move individual automatic drive logs from the Unidentified Logs section to the appropriate driver, which resulted in duplicate ON logs if the paired automatic ON log was not moved as well. This issue has been corrected by preventing Admins from moving logs without using the Bulk edit feature, which moves both the Drive log and the paired ON log together.

Removing Vehicles or Drivers with Current Regulatory Data

In Geotab Drive Version 2002, any device or user with recent regulatory data (e.g. HOS and DVIR logs) can no longer be removed until the data is purged. Users will now see the following error messages when deleting a user or vehicle with regulatory data.

Prevent deletion of needed data

Changes to Handling Ignored Logs

The ignore logs feature has created some confusion among both drivers and administrators. FMCSA has ruled that automatic driving logs and the associated on duty logs can no longer be transferred to another driver as there was apparent abuse of this feature. If incorrectly assigned, the logs must remain, but can be ignored.

The following updates have been made to the Ignore Log feature:

  • Users now have the option to ignore HOS logs in bulk.
  • Ignored logs that continue to the next day as placeholder logs are now greyed out to match the UI on MyGeotab.
  • Ignored logs are now available by default under the DutyStatusIgnoredLog column on both the Standard and Advanced HOS reports.

Workflow updates

To improve the login and logout workflows, while reducing the amount of time it takes to reach the HOS Dashboard, an Assets screen has been added to display the vehicle, trailers and shipment selections in a single view. The DVIR screen also displays the vehicle and trailer in one view. The same applies for both the login and logout workflows.

Availability Warnings Display at Login in Feature Preview

In the past, drivers have interrupted their break time to log in to the Drive App to view duty status information placing themselves in violation of the rule. In Geotab Drive Version 2002, break and driving limit information is now displayed when logging in (with Feature Preview enabled) on the new Availability screen.

The Availability screen displays whether drivers are in violation, at risk for potential violation, or have upcoming violations. The images below show examples of messages that may display when logging in.

New consolidated work flow
Availability Warnings
Drivers now have the option to apply the Exempt HOS Allowed by tapping the Exempt HOS button, if enabled by an Admin.

Drivers now have the option to add an OFF log for any upcoming violations.

Clock-in/Clock-out now in Feature Preview

The Clock in/Clock out feature allows drivers to navigate through the login/logout workflow while still remaining in the Drive App. When a driver taps OFF or SB, they can either take a break, or clock out. If they tap Yes to clock out, the driver proceeds through the normal logout workflow.

The Clock in/Clock out workflow is available offline and does not require an active wireless connection. However, to fully log out of the Drive App, a wireless connection is required on the driver’s mobile device.

While clocked in, the driver stays in the App, where they can choose to remain assigned or unassigned from their vehicle.

While clocked out, the driver can view duty status logs, messages, and DVIR logs that are attached to the vehicle.

To clock back in, the driver can use the prompt at the top of the Dashboard, or tap D or ON to continue the login workflow.

New Exempt HOS Allowed’ exemption available

A new Exempt HOS Allowed exemption has been added for drivers who are exempt from Hours of Service (HOS) and/or ELD rules under specific circumstances. A good example of this is the Agriculture exemption. When logging out, the driver must now change their exempt status to ON or OFF. Previously, the FMCSA required HOS or ELD-exempt drivers to use Personal Conveyance (PC).

Admins have the option to customize the name of the exemption in MyGeotab via Administration > System > System Settings, as well as the ability to toggle the exemption settings for each driver under the HOS Settings tab on the User Edit page.

and even more…

  • Improved Personal Conveyance (PC) distance on reports
  • Improved Verify Log logic for placeholder logs
  • Improved IOX-USB fIOX-USB now calculates the PC based on the following information: The selected ruleset, the PC limit defined in the User Settings, and the PC limit defined in the System Settings.
If the driver exceeds the PC limit, the system automatically places the driver in the Drive status.

What’s New in MyGeotab?

Users – You can now designate your support, training and procurement contacts for your organization in the UI

This is an optional setting that may be very helpful, especially in large organizations. Assign key experts from your organization who can answer questions and solve problems in MyGeotab! As professionals in areas of training, procurement and technical support, these individuals can share knowledge and identify tools to help meet your needs in the Fleet Management Application. They can also receive important updates about new features, and other areas we are working on to support your business.

Individuals designated as support contacts must provide a phone number, since we may redirect calls if we cannot assist a user from your organization who needs help.

Driver Assignment

The live Map now displays new drivers as soon as they are assigned to a vehicle. Previously, new drivers were only updated when the next trip occurred.

Also, the pop up window for assigning a driver is now much clearer to understand.

The driver will be assigned to the vehicle for all trips until:

  • The driver is assigned to another vehicle.
  • Another driver is assigned to this vehicle.
  • The driver is unassigned from this vehicle.

Other new features worth mention are a new pending changes message, updated system notices, a billing reminder message when removing a device, and the diagnostic code token is now available in all custom notification templates.

The EV Charging Report and EV Charging Activity indicators on the live map are out of Feature Preview.

Geotab Drive “Must Have” Add Ins & ELD Reports

Geotab Drive with ELD Reporting – Free Marketplace Tools

Geotab Drive makes ELD compliance easy, but many users miss the free add-ins and reports that truly simplify a fleet manager’s life. In this post, we present the options that we feel are “Must Have” applications for our clients. Everything shown can be downloaded or directly installed in your system from the Geotab Marketplace. Just click on “Marketplace” at the bottom of your main menu and open up a world of possibilities.

ELD Services – Settings Validator Add-In

There is a multitude of settings and entry fields presented to you when initially setting up your ELD drivers. When drivers begin to use the system, all of the static information that must be included in their RODS is pulled from these entries. Thus, if the driver’s license issuing state was not completed when the driver was created in the system, it will not show up on a compliance print when generated. Unfortunately, when this happens at a roadside inspection, you have likely ruined your driver’s day. Using this add-in assures that all required information is accessible to the Geotab Drive app, and compliance prints or RODS transferred to FMCSA will include all required information.

The ELD Settings Validator is a free add-in for Geotab. It identifies missing driver data and links you right to the form to correct the ommissions. Fields marked with an X are an indication that information is missing for that field. Select the information icon on the right-hand side for quick access to the driver’s User Settings. Simply fill in the missing information and select Save at the top of the screen. Drivers that are not missing information will not be displayed, only entries that need to be corrected.

ELD Add-In – Driver Access to
Support Help Desk

The ELD Information Add-In provides instant, driver-friendly access to the Reseller Support Help desk. View the latest ELD information documents that are required during a roadside inspection in accordance with ?395.22 (h), or stream the latest How-to videos for Geotab Drive. Please note that this add-in is currently only available for mobile devices running on Android.

With this add-in installed in your Geotab system, all drivers will see the add-in populated on their HOS Dashboard. The step by step instructions for using Geotab Drive are contained in the Data Transfer Guide, ELD Manual, and Data & Diagnostics ELD Malfunction Sheet Guide. All are launched right from the app in a single click. Most importantly, these are the documents required to be kept in the cab under the FMCSA regulations. By linking to the electronic documents you know you always have the latest version.

Workflow documents for HOS and DVIR are also available anytime a quick refresher is needed. Alternately, for drivers that prefer video learning, a playlist of video training is also linked to the app. The linked documents and videos are updated when changes are made to the app, so the latest information is always available to the driver.
